The Role

Veev is looking for an experienced Executive Assistant/Chief of Staff to join our growing team. This position is responsible for providing high-level administrative support to the CEO and executive leaders as needed. Our ideal candidate is resourceful, highly organized, able to juggle changing priorities and maintain consistent attention to detail. In addition, the Executive Assistant/Chief of Staff will be responsible for participating in strategic planning, agenda preparation, and following up with multiple teams regarding action items.

Responsibilities

Executive Support:

  • Provide high-level administrative support to the CEO, including managing schedules, correspondence, travel arrangements, company events and meeting preparations.
  • Act as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and manage executive meetings, including agenda preparation, minute taking, and follow-up on action items.

Strategic Planning and Project Management:

  • Assist the CEO in developing and implementing strategic initiatives.
  • Oversee special projects and ensure they are completed on time and within scope.
  • Conduct research and provide insights to support decision-making processes.
  • Facilitate communication and collaboration across departments to ensure alignment with company goals.

Operational Efficiency:

  • Optimize internal processes and workflows to enhance productivity and efficiency.
  • Manage the executive office budget, including expense tracking and reporting.
  • Develop and maintain dashboards and reports to track key performance indicators.

Leadership and Team Support:

  • Serve as a trusted advisor to the CEO and the executive team.
  • Lead and mentor administrative staff, fostering a collaborative and high-performing work environment.
  • Represent the CEO/President in meetings and events as needed.

Communication and Relationship Management:

  • Build and maintain strong relationships with key stakeholders, including board members, clients, partners, and employees.
  • Handle confidential information with discretion and integrity.
  • Ensure clear and effective communication across the organization.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field; MBA or advanced degree preferred.
  • Minimum of 5-7 years of experience in executive support and/or project management, with a proven track record in a similar role.
  • Exceptional organizational and multitasking skills with a keen attention to detail.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and Gsuite.
  • Ability to work independently and make informed decisions in a fast-paced environment.
  • Demonstrated leadership and team management capabilities.
  • High level of discretion and professionalism.

Physical Requirements:

This is primarily a sedentary office position which requires the Executive Assistant to have the ability to operate computer equipment, speak, hear, bend, stoop, reach, lift, and move and carry up to 25 lbs. Finger dexterity is necessary.

Compensation

Pursuant to state and local pay disclosure requirements, the pay range for this role, with final offer amount dependent on skills, education, experience, and location is $125,000 - $165,000 annually for Hayward, CA and surrounding areas.
