About the Role
Forge is seeking a knowledgeable, highly motivated and customer-focused HVAC Sales Coordinator to help support our growing direct-to-homeowner business. In this role, you’ll play a critical part in driving new business through helping schedule, coordinate and deliver estimates for in-home consultations with homeowners looking to enhance their comfort with a heat pump system.

This role is perfect for someone eager to build their career in a sales role at an early-stage startup and gain hands-on experience in a thriving and dynamic industry. Your typical week will likely involve splitting your time between customer intake calls, in-office responsibilities and some site-audits, typically working five days a week from the office or on the road, with flexibility to work from home as needed. While most of the team operates Monday through Friday, we are interested in candidates willing to work alternative schedules (e.g., Tuesday through Saturday) to better accommodate homeowners. This isn’t a requirement, but definitely a nice to have if you are open to it (even sometimes, if not always).
The anticipated pay range for this position is $60,000 to $70,000 USD, commensurate with experience and qualifications.
What You Will Do:
- Intake Phone Calls: Promptly respond to all incoming calls and leads, ensuring follow-up within 4 business hours to maintain responsiveness and customer engagement. Coordinate and schedule walkthroughs or site audits as needed to gather essential information for tailored heat pump solutions.
- Site Audits and Proposals: Conduct detailed site audits by using photo/video, Manual J calculations, and Conduit scans. Assist the sales and design team in drafting customized proposals that recommend HVAC solutions tailored to optimize comfort, efficiency, and sustainability.
- Customer Satisfaction Checks: Follow up with customers after they receive a quote to address any questions or concerns and provide timely assistance to enhance their experience.
- Collaboration: Collaborate closely with your team of salespeople, system designers, and project coordinators to streamline processes, ensure smooth handoffs, and deliver accurate project execution to our customers. Partner with team members and operations teams to refine the sales process and incorporate customer feedback.
- Technology Leveraging: Utilize our customer relationship management (CRM) software to track leads, follow up on opportunities, and document customer interactions.
Your Qualifications
- Experience: (Preferred but not required if you can learn quickly) 1+ years of experience in the HVAC industry with a solid foundation in heat pumps or another green-energy industry (like solar or an electric utility). This could include roles as a project coordinator, HVAC technician/installer transitioning to sales, or similar positions.
- Communication Skills: Strong ability to communicate effectively, listen actively, and build rapport with customers.
- Attention to Detail: Highly meticulous and thorough in all aspects of work, from scheduling and site audits to preparing accurate proposals and managing follow-ups. A strong focus on accuracy and quality ensures projects are executed efficiently and exceed customer expectations. - Technical Proficiency: Capable of assessing and estimating heat pump systems tailored to customer needs using industry-standard tools and practices. (You don’t need to know how to do this on your first day, but you need to be willing/able to learn.)

- Tech-Savvy: Familiar with CRM tools and other technology to manage leads and streamline processes.
- Other requirements: Available to work full-time with flexibility to work extended hours if needed. Valid driver's license. Authorized to work in the U.S. Willing and able to pass a background check and 4-panel drug test (no marijuana screening).
